From 3 Minutes to Instant: How We Transformed a High-End Builder’s FileMaker System

One of our recent clients in Texas, Chateau Domingue, operates exactly in that space, building stunning custom homes using authentic materials sourced from Italy and across Europe. Their projects feature original tile, hand-selected stone, antique wood, and other old-world elements that give each home a timeless, high-end feel. But while their craftsmanship was exceptional, the software running their business told a very different story. They had a problem with FileMaker speed due to a bad design.

The first step was to clean up the Relationship Graph. Table occurrence groups were tightened and simplified, eliminating unnecessary joins and reducing overhead.
Next, Nicolai focused on the data model itself. The file was effectively “flattened,” removing performance-heavy dependencies. Unstored calculations—often a major cause of slowness— were replaced wherever possible with stored calculations or auto-enter values.
In one particularly impactful case, we discovered a field defined as a summary field based on an unstored calculation. This is one of the slowest possible configurations in FileMaker. Every time the layout loaded, FileMaker had to recalculate large portions of the dataset. We corrected this by restructuring the calculation logic and storing the results properly.
Meanwhile, the previous developer had attempted to compensate for the slowness by increasing server resources on AWS—specifically RAM. The result? The client was spending thousands of dollars annually on infrastructure, yet the system still performed like a tortoise.
Once our optimizations were applied—even to just one critical area—the results were immediate and dramatic.
What used to take 3 minutes… became instantaneous.
Users could now access invoices and inventory in real time, dramatically improving workflow efficiency and user satisfaction.
But the impact didn’t stop there.
Because the system was now efficient, we were able to scale down their server environment significantly. Reduced RAM requirements and a more appropriate infrastructure setup led to a savings of approximately $18,000 per year on server costs alone.
